Used by Project administrators and safety reviewers
A maintained worker record that supplies the training and identity context for access checks. Registration alone grants no room entry.
A new electrician registers using the site QR. Staff approve the worker, assign their badge and separately record the training needed for an electrical room.
Rooms, gates and other controlled areas can share project defaults or carry their own requirements.
Used by Administrators set rules; attendants use them at entry
Each location has a clear set of entry requirements. An eligibility overview helps preparation; the attended check uses the current rules.
West electrical uses the project’s training requirement. An administrator adds an approved-permit requirement for the battery room without changing the other locations.
Bring the crew, locations, dates and scope into a request that authorised staff can review.
Used by Foremen, guest requesters, administrators and safety reviewers
An approved permit covers a specific crew, locations and dates. It does not override training requirements or replace a current entry check.
A foreman requests battery-room access for two electricians over three days. The reviewer checks the named crew and scope before approving the permit.
A badge identifies the worker. The check evaluates their current eligibility for the selected location.
Used by Room and area attendants
An eligibility decision with a reason. This is an attended check; it does not open a physical door, establish live occupancy or authorise electrical work.
Sam presents a valid badge, but required training has expired. The check denies eligibility and gives the training reason for the attendant to address.
Track Authorized Personnel (AP) and Qualified Worker (QW) locks as a checkout and return process.
Used by Administrators, safety staff and attendants
A personnel-lock custody record. Equipment isolation, application, removal and release procedures remain outside this workflow.
An attendant checks AP-001 out to Alex after the training check passes. When Alex returns it, scanning the lock records the return against that assignment.

Worker is active, required training is current, and a valid access permit covers this example room.
The attendant still confirms identity. This interactive example uses fictional records; it does not scan a badge or run a live access check.

Here’s how a new project is prepared for use.
Identify your projects, controlled areas, workforce and entry points. Agree who will administer the system, verify training and attend access checks. Confirm commercial terms, hosting and support arrangements before committing.
Set up the organisation’s projects and staff access. Account Admins oversee the organisation; Project Admins manage their assigned jobs. Invite foremen, safety reviewers and attendants with the appropriate roles.
Ready for setup: a project and its responsible staff.Enrol workers, review a CSV import, or use the worker-registration QR. Review submissions, assign companies and unique badges, then record verified training, validity dates and supporting certificate evidence.
Registration builds the worker profile. It does not grant room access.Add rooms, gates and other controlled areas. Apply project defaults or set location-specific training and permit requirements. Prepare crew requests and the approval workflow where permits are required.
Training-only entry, or an approved permit plus current training.Test eligible and denied examples with your staff, printed badges and intended devices. Confirm training expiry, permit coverage and identity checks behave as expected. Agree support ownership and an attended fallback before relying on the system on site.
Each entry still needs a fresh, attended badge check.A clear starting point for a purchase conversation. This guide explains how the current software is configured and used. Pricing, licensing, hosting, setup services and support commitments should be confirmed in your commercial agreement.
Staff use their own sign-ins and assigned roles. Workers can use registration and guest-request QR forms without a staff login.
A foreman submits the crew, locations, dates and scope. A reviewer approves or declines the request. An approved permit covers that crew and those locations within its dates.
The attendant confirms identity and checks the worker against the location’s current requirements. Missing training or a required permit produces a denied result with a reason—even if another request was approved.
Review in-app alerts, update training and inspect badge-check or audit history. If personnel locks are used, record their checkout and return in the separate custody workflow.

GatePulse began with an electrician’s view of a practical site problem: identifying a worker and deciding whether they can enter a controlled area are different tasks.
At the door, the attendant needs more than a badge: current worker status, the location’s rules, verified training and any required permit. GatePulse brings those details into one current access check, with a recorded result and reason.
Personnel LOTO calls for a different record: who checked a personnel lock out, who holds it and when it was returned. GatePulse keeps that custody history clear while equipment isolation and release remain under separate site procedures.
That practical perspective shaped the workflow: what the attendant needs to see, what the reviewer must verify, and what the team needs to trace later.
Room and area access control. GatePulse brings location rules, verified training, crew access requests, permits and attended badge checks into one workflow.
An attendant selects the location, confirms the worker’s identity and checks their badge. The software evaluates current worker status, training and any required permit for the location and project-local date, then records the result and reason.
The Locks module tracks custody of Authorized Personnel (AP) and Qualified Worker (QW) locks. Staff scan a worker badge and lock for checkout; a return needs the lock. Training requirements and a checkout/return history support the process. Equipment isolation, lock application or removal, release and switching are outside this workflow.
GatePulse supports attended entry eligibility checks. Physical door or gate integration is a separate capability, and badge-check history is not a continuous location or confirmed occupancy record. Entry eligibility does not authorise electrical work.
Your rollout needs an organisation workspace, project administrators, staff roles, a registered workforce and location requirements. Prepare and test these with a fictional crew before live use. The Getting started guide shows the setup path; commercial terms and service responsibilities are agreed separately.
Staff sign in to carry out their assigned roles. Workers can submit registration or guest access requests through project QR links without a staff login, then save their private receipt link. Registration is reviewed and does not automatically grant training, a permit or room entry.
Use an internet-connected phone, tablet or computer for current browser-based checks. Badge identifiers can be typed, read by a supported camera QR workflow, or entered by a compatible keyboard-mode USB/Bluetooth scanner. Web NFC requires supported Android hardware and a compatible browser; iPhone Safari needs another mode. Validate your actual devices during the pilot.
Maintain worker profiles and training records, review in-app alerts for pending work and training expiry, and search badge-check and audit history. In-app alerts support the process; they do not replace a current entry check. Email and text alerts are not part of the current notification workflow.
The preview uses fictional records to explain workflows from the actual GatePulse software. It is not a live workspace. Use Open GatePulse to reach the development app; project records require staff sign-in and assigned project access, with MFA for privileged actions.
